Alpha Jiu Jitsu (“we”, “our”, “us”) respects your privacy. This policy explains what personal information we collect, why we collect it, and how you can access or correct it. It applies to both the Rouse Hill and Richmond academies.

When you enrol at the academy we collect your name, date of birth, contact details, emergency contact, medical information you choose to disclose, and payment details needed to set up your direct debit. We also keep records of your attendance, belt rank, and grading history.
2. How we use your information
We use your information to manage your membership, process payments, run classes, track your progress, communicate with you about the academy, and meet our legal obligations. We do not sell your personal information to anyone.
3. Who we share it with
We share information with the service providers that help us run the academy: our customer management system (Clubworx), our direct debit providers (Ezi Debit for Rouse Hill, PaySmart for Richmond), and our website and email providers. Each provider is bound by confidentiality and privacy obligations. We also share information where required by law.
4. How we protect it
We store your information in secure systems with access limited to authorised academy staff. Payment details are handled by our direct debit providers and are not stored on our own systems.
5. How long we keep it
We keep your information for as long as you are a member, and for a reasonable period after you leave, in line with our record-keeping obligations. You can ask us to delete information that is no longer needed.
6. Your rights
Under the Australian Privacy Act 1988 and the Australian Privacy Principles you have the right to access the personal information we hold about you, to correct anything that is wrong or incomplete, and to make a complaint about how we handle your information. To exercise these rights, contact us using the details below. We will respond within 30 days.
7. Children
Children enrol in person at the academy with a parent or guardian. A parent or guardian signs the enrolment form before a child can train, and that signature is the consent for us to hold and use the child’s information. Parents can ask us to access, correct, or delete their child’s information at any time.
8. Cookies and website analytics
Our website may use cookies and basic analytics to understand how visitors use the site. You can disable cookies in your browser settings. We do not use cookies to track you across other websites.
